One link document collection for 150 employees

The problem

HR needed identity, bank and qualification documents from staff across eleven locations. Email chasing does not work, and the first build was rejected because the company did not want its staff data sitting with another cloud vendor.

What we built

• One link, one flow: the employee enters name, mobile and branch, then uploads all six documents from a phone
• Rebuilt to run entirely inside the company's own Google account, so nothing leaves their control and there is no running cost
• One folder per employee inside a branch folder, with timestamped, append only filenames that can never overwrite each other
• A register sheet with a still missing column, which is the chase list HR actually works from
• Replace a wrong upload with confirmation, and server side checks so a half finished submission cannot be marked complete

Where it stands

Delivered as a working app inside their own account, with image shrinking on the phone so slow connections still complete.

Worth knowing

The better engineering answer was rejected for a good business reason. The right build is the one the client will actually run.
